Give Employees Your Undivided Attention 
Multitasking is the norm nowadays, even if it’s not really the most productive way to operate (but 
that’s another story). When you’re meeting with employees, put your phone away. Face away 
from your computer screen and toward the employee. Distancing yourself from electronic devices 
and other distractions lets them know they have your undivided attention. 
Be aware of the difference between speaking and listening rates. 
Studies have shown that the average person can speak at a rate of 
about 200 words per minute, while the brain can process between 
600 and 1,000 words per minute.

That leaves a lot of time for your 
mind to wander, so it takes effort to focus on the speaker.

Avoid Distracting Listening Habits
It is important to help the speaker when listening. Avoid distracting verbal comments and non-
verbal behaviors, such as the following:
•
Interrupting
•
Not making eye contact
•
Finishing the employee’s thoughts
•
Changing the subject
•
Making the employee feel rushed
•
Making the speaker repeat points he or she already made 
•
Trying to “top” the employee with a story of your own
•
Minimizing the employee’s feelings

Ask Socratic Questions
The Socratic method originated in the Greek culture with the philosopher Socrates, who used 
questions to draw out information rather than give out information. Socratic questions aim to 
encourage critical thinking skills and promote discussion.

Socratic questions are useful for the following:
