Sometimes it’s not possible to be there in person. It may be too expensive
in time and money to travel a long-distance, or you may want to
broadcast a talk simultaneously to many people in different locations. I’ve
done both of these many times, using Skype, Skype for Business and

webcasting services like GoToMeeting and Zoom. Here are the lessons
I’ve learned.
Get to know the tool. It is asking for trouble to agree to speak via a tool
you’ve never used before without proper preparation. They are all
different. Some have serious quality limitations, either for audio or for
video, which you will need to take into account in preparing your
material. Some allow you to share a screen and speak simultaneously,
possibly with ‘picture in picture’ so the audience can see you as well as
your slides. Very few allow you to send computer audio at the same time
as speaking; the only one I’m aware of that does this at the moment is
Zoom.us. If screen sharing is clunky or laggy, you might decide not to use
slides at all, or at least not to broadcast them while you use them simply
to help guide you through the content; the audience would see only your
face as you speak.
Make sure you have a good pair of Bluetooth headphones and if possible
use a high-quality external mic. Using your laptop speakers and mic will
probably not give a good result for people at the other end. I use
Sennheiser MM 450-X headphones, which are small, light, unobtrusive
and very good quality. You could use something even smaller, like Apple
AirPods. A Zoom audio recorder like the H2 I recommended in Chapter 6
will double as a high-quality USB microphone, and with a small stand can
sit just out of short on a desk in front of you and produce a much better
sound than your laptop would.
Think carefully about the room you’re going to use. Avoid a room with
very live acoustics; these will make it hard for people to understand you,
even if you do use an external mic; go for a room that sounds as
acoustically dead as possible, which means it needs plenty of soft surfaces
to absorb sound and stop those reflections from confusing the signal.
Also think about the background. Most of the conferencing apps will

allow you to preview what your own camera is seeing, which gives you a
chance to make sure that everything behind you is appropriate and not
distracting, and to frame the shot nicely to include your head and
shoulders squarely in the centre of the shot.
Practice as near to the real thing as possible with friends or colleagues
until you are confident that what’s being received at the other end is as
good as it can be. As you do this, you can tailor your material to the
limitations of the tool you’re using. I have done boardroom presentations
to roomfulls of people on other continents where the audio was coming
from a small PC loudspeaker on the table. Knowing that, I chose not to
deploy my usual high-quality audio: it would have sounded thin,
distorted and probably distracting. Clarity is everything: your task is to
get the ball over the net with whatever equipment you are given. Don’t
attempt to squeeze the full glory of your presentation through a medium
that won’t do it justice. Be humble and adaptable and remember it’s not
about you, and you will achieve a good result even with some of the more
basic tools that are commonly used.
