Should specific reports be eliminated or produced more or less frequently?

What information available to night auditors would be helpful if it were provided
daily?

Are there others in the department who could benefit by receiving copies of
the reports?
Figure 10 is a brief list of reports and the managers to whom the reports would be 
of most interest. Among the most popular types of management reports are those
with these characteristics:

Credit related. A variety of reports related to guest credit are used by the FOM,
controller, credit managers, and others who need to know that specific guests
are at or near their credit limit.

Group sales related. In hotels with significant group, convention, and meet-
ing business, reports related to group activities are especially useful to direc-
tors of sales and marketing, group sales managers, selected catering and
food and beverage managers, and general managers. These reports can
include room pickup, food and beverage activities, credit levels, and cumu-
lative purchases.

Housekeeping related. Maintaining accurate room status (e.g., occupied, clean
and vacant) is always a challenge. Management reports that assist the front
desk in its communications with housekeeping are indispensable.

Maintenance related. Rooms that (1) need immediate maintenance-related
attention, (2) are placed out of order, or (3) are scheduled to be taken out of
service for maintenance affect revenue and an FOM’s ability to forecast occu-
pancy. Reports that allow front desk staff to communicate guest-initiated
maintenance concerns to maintenance personnel are essential in the daily
transfer of information between these two departments.

Accounts receivable related. Guest folios consist of detailed lists of what the
hotel is owed and records of what guests have already paid. When money is
owed to a hotel at the conclusion of the night audit (i.e., a guest has an out-
