Assignment: District Administration Office

Department: Administrative Office

Reports to: Director of Curriculum & Assessment; Facilities Supervisor; Business Supervisor

Position Definition: The Curriculum Operations and Business Office Secretary is a full time (12-month) position that directly reports to the Director of Curriculum & Assessment, Facilities Supervisor, and Business Supervisor. His/her duties include, but are not limited to, the following:

Essential Duties and Responsibilities:


  • Assist the Business Supervisor with the processing & mailing of all general fund checks.

  • Receive and manage tax receipts, including Hanover Township (lock box and counter receipt), Catasauqua, and North Catasauqua.

  • General accounts payable coordination, including bill to account code correlation.

  • Provide general office and clerical assistance to the Business Supervisor.

  • Assist in the creation of Board Agenda materials.

  • Provide secretarial support to the Director of Curriculum & Assessment.

  • Provide secretarial support to the Facilities Supervisor.

  • Provide employment application packet and information to prospective applicants.

  • Input purchase orders.

  • Manage various databases as designated by supervisors.

  • Assist the district office receptionist in managing phone calls, transfers, and attending to district office guests and general public.

  • Provide support for the district-wide professional development program, including school year and summer programs.

  • Receive and coordinate all relative staff conference request forms.

  • Maintain records of change orders relative to capital projects.

  • Perform any other duties and/or responsibilities assigned by supervisor.


Qualifications:
Education/Experience


  • H.S. Diploma, experience in PC usage, typing, word processing, spreadsheets, and general office procedures. 3 years experience in a district or regional office setting

Reasoning Ability



  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized and non-standardized situations. Must be able to effectively deal with multiple individuals in a fast paced office environment. Must also possess ability to effectively communicate and coordinate with various teams within the District Office, school buildings, and general public.

Language Skills



  • Ability to read and interpret documents such as safety rules, technical manuals, operating instructions, policy and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before individuals and employees of the organization.
