SECTION REVIEW AND DISCUSSION QUESTIONS
Section Objective:
Discuss the purpose of common night audit reports, note sources
of report data, and explain common types of night audit reports.
Section Summary:
Night auditors must develop and distribute reports at the request
of the FOM and other managers. A seemingly innumerable variety of reports can be
generated from data in the PMS. These data can be supplemented, as necessary,
with information entered manually from noninterfaced systems. Night audit reports
can be classified as follows:
• Emergency reports provide contact information about registered guests that
may be needed in the event of an emergency and other information required for
guest check-out if the PMS system is not available.
• Revenue generation reports provide daily, monthly and year-to-date
information—often compared with data from the previous year—that is of
interest to the rooms and other departments.
• Reservation activity reports provide useful information for FOMs as they work
to maximize RevPar.
• Exception reports alert managers to potential problems such as guests with
outstanding balances that exceed their authorized credit limit, differences
between PMS and housekeeper reports related to room occupancy, and
cashier banks that are over or short.
• Management-oriented reports provide specific information to managers as
they make decisions about credit, group sales, housekeeping, maintenance,
or accounts receivable. Hotels with unique features or services generate
special reports.
Microsoft Windows-based operating systems allow reports to be circulated by
e-mail or a hotel’s intranet. Managers can select and generate their own reports if
they have access to these systems.
