Pickup report:
Any of a variety of PMS reports designed to summarize reservation activity.
Pickup reports are necessary because it is not possible for FOMs to evaluate the
demand impact of individual reservations for guestrooms. Consider that small hotels
will likely make dozens of transient guest reservations daily, and larger hotels may
make hundreds or even thousands per day for dates that may be a year or more in
the future.
Every PMS allows an FOM to review a listing of all reservations made on a spe-
cific day. That reservation information alone would not, however, be sufficient to create
an effective demand forecast for any future date. To illustrate, assume an FOM in a 300-
room hotel reviewed a list of daily reservations and found that 200 rooms were reserved
on Monday for the upcoming Friday night. Based on that information, the FOM might
forecast strong demand for Friday and set the hotel’s rate strategy accordingly. If, how-
ever, on the following day, 190 of the 200 guests who made these reservations canceled
them, demand for the date would not be strong. If the FOM did not monitor both the
hotel’s reservations and reservation cancellation activities, the demand forecast would
not be accurate or effective in the development of the hotel’s rate strategy.
Common pickup reports include reservation activity, reservation turn-aways (due
to room unavailability or other factors), cancellation activity, pace summaries, and
reservation summaries by arrival date, room type, rate, or any other data field that
FOMs choose to predict room demand. Pickup reports are primarily designed to
summarize reservation data. Therefore, FOMs must consider the three most com-
mon types of reservations encountered in most of hotels; these are presented in
Figure 15.
