toll charges, and food and beverages. Some resort hotels impose use fees for
golf, tennis, or selected water activities (e.g., boats and water skis). Guests are
typically allowed to charge these items to their rooms, and the charges must be
posted in the PMS.
Additional sources of non-room revenues in full-service hotels include charges
for meeting room rental (considered separate from sleeping room revenue), audiovis-
ual equipment rental, and any special setup or service charges related to the sale and
use of meeting space.
When all room and non-rooms charges have been entered into the PMS, the sys-
tem performs two major functions, as shown in Figure 12:

Creation of guest folios (bills). As defined earlier in this chapter, folio is the indus-
try term used to identify the charges assessed to a hotel guest. Persons not stay-
ing in the hotel (e.g., a local couple eating in the hotel’s dining room) would
receive a bill. The total of all folios and bills (that represent the hotel’s revenues)
must be recorded in the PMS.
•
Updating the hotel’s accounting records. A primary function of the PMS is to
maintain accurate accounting records. Therefore, every room and non-room
sale must be recorded, and the database related to total sales and payment
records must be updated.
The PMS is usually not the same as the hotel’s back-office accounting system.
