Report Distribution
As recently as 10 years ago, the method used by nearly all night auditors to distrib-
ute reports was a fairly simple three-step process:
1. Create the report
2. Make paper copies on the front office department’s copy machine
3. Physically distribute copies to the appropriate manager’s office or mailbox
Today, many managers have their own PMS terminals and can select, view, and print
copies of the reports that are of interest to them. Many PMS manufacturers use
Microsoft office products (Word, Excel, and Access) to create their reports, so night
auditors in properties using these systems can e-mail reports or send them via the
hotel’s intranet system. Regardless of the distribution system used, the night auditor
must ensure the availability of relevant information so hotel owners, managers, and
others have access to the information they need.
