Update from the practice
Katie thanked the PPG for their hardwork in fighting for the future of the practice and re-iterated that she thought it was unlikely that the contract would have been extended without pressure from the patient group.
Long discussion about how NHS England, the East Surrey Clinical Commissioning Group (CCG) and the surgery work together and how surgeries are now funded and governed. IJ is a new member and wanted to know a little more about how the surgery is run.
Long discussion around the future of the surgery. Katie reported that discussions with NHS England, the East Surrey CCG and the Federation of Practices have started to try and prepare some options of the future of South Park. These options are not in a position to be shared with the PPG as there are currently no specific suggestions on the table. Katie reassured the group that when there needed to be patient-input into the future designs of South Park that the PPG would be the first point of call.

Review of patient comments, suggestions and complaints
Katie fed back that there had been two issues that the PPG should be aware of. One complaint that the area around the surgery was messy and there was some rubbish. The surgery’s garden has been tidied and will be kept tidy.
The surgery’s telephone system was cut off on the 22nd January. This resulted in no phone line to surgery for 24 hours. Phone lines could not be diverted because of restrictions placed on phone by BT. Business continuity plan did not cover this as understanding had been that diversion could be put on. Mobile phone number given to CCG, NHS England, NHS 111 and shared on the surgery website. PPG agreed that there was little else that could have been done in the circumstances.

Feedback from the Patient Representative Group
Katie and MP explained the role of the Patient Representative Group (PRG) which is aimed at providing an avenue for each individual PPG to get their concerns and feedback raised at the CCG level. Currently MP attends this quarterly meeting. Katie agreed to share the minutes when they are available and to promote the meetings by email.
MP reported that the areas discussed at the PRG were:
There is a new safe haven café set up in Redhill. This is a drop in service for patients with mental health issues and is supposed to be a source of support in crisis
There is a new scheme to encourage GPs to prescribe generic (unbranded) medications whenever possible. Where patients insist on having the branded medication they will be given a (free) private prescription by the GP and will buy the medication at the pharmacy.
MP reported that Carol Rowley (lead for patient participation at the CCG) would like the opportunity to come and meet the CCG. Katie said she would organise this.

Improving participation
Katie fed back that she had sent an email to patients who were registered for online services asking whether they would like to attend the PPG. There are posters in reception and information in the newsletter. Discussion around how to increase the number of patients at the PPG. Plan to be made at next PPG meeting.

Action plan
As there wasn’t time to discuss the action plan for the year, MP said he would share his draft version of the action plan so it could be used as a basis for discussion via email. With the plan that the PPG would formulate an action plan at the next meeting.

Any other business
DNAs (did not attends) at the surgery were discussed at length. Still a relatively high number of DNAs. Katie reported back that an average is approximately 7% DNA rate across other practices. Options for reducing DNAs were discussed. The writing of letters to every patient who does not attend seemed like a lot of administration work for the practice with quite small reward. Katie suggested that they trial SMS messaging reminding patients about their appointment. PPG agreed that this would be a good suggestion
All PPG members agreed that they were happy to share their email addresses with each other to promote discussions in between PPG meetings.
Frequency of meetings agreed at quarterly.
