NIGHT AUDIT AND REPORT MANAGEMENT
The ability of a PMS to produce a massive number of potentially valuable
reports is both an asset and a potential liability. Managers
benefit because they can
retrieve important information easily. However, massive amounts of data can, if not
properly managed, lead to creation of so many reports
that managers do not pay
proper attention to them.
FOMs must inform other managers about their department’s ability to provide
useful reports. For example, virtually all PMSs can record
guestrooms that are out of
order (OOO). A daily report created during the night audit could list this information:
•
Date the report was created
•
Number
of OOO rooms on that date
•
Room numbers of each OOO room
•
Date each
room was placed on OOO list
•
Name of the person placing the room on OOO list
•
Reason
for the OOO status
•
Estimated date the room will go off OOO status
One of the night auditor’s duties is the creation of management reports.
