Reporting and Data Management Functions
In addition to reviewing financial accounts, the night auditor summarizes and reports
other important operating statistics. These data are stored or distributed to managers
who use the information to complete their own work.
Data Reports
Even the most basic PMS can create a large number of management reports, because
virtually all the data required to operate the hotel is stored in the PMS. The manner
in which that information can be used varies greatly. For example, all PMSs record
reservations that have been made, so the night auditor can create reports that list
all room reservations since the last night audit. A separate report can list the number
of reservations made during each shift or by each reservationist. Additional reservation
reports could list the number of reservations made for a specific room type, the ADR
of the reservations made, the source (distribution channel) used for the reservations,
the geographic area from which those reserving rooms will arrive, and a host of other
characteristics applicable to the reservations.
