Distribution of Reports
The PMS is a powerful tool that can assist the FOM and his or her staff as well as other
hotel managers. Consider, for example, a typical full-service hotel with departments that
include general manager (overall property management), front office, food and beverage,
accounting, maintenance and engineering, housekeeping, and sales and marketing.
Figure 3 illustrates the flow of reports from the PMS to these departments.

The general manager will likely want daily information about the hotel’s overall
occupancy rate and its ADR and RevPar. The food and beverage director will want
to know about the nature of the hotel’s guests (e.g., families, couples, or business trav-
elers). House counts as well as estimated arrival and check-out times will be impor-
tant because they may affect food and beverage sales patterns. The accounting staff
will want to know about guests who have exceeded their established credit limits and
if cashier drawers at the front desk were over or short on each shift.
