Field:
Data-entry location in a PMS. For example, the reservation
screen on a PMS contains a
field for
the guest’s name and another field for the guest’s telephone number (along with many other fields). Data
for these fields are typically entered at the time the reservation is made and may be modified at the time
of guest registration. Fields are sometimes referred to as
data fields.
Guest Request Information
In addition to specific information about the guest, a room reservation typically
includes an extensive amount of information about the guest’s specific
reservation
requests. Figure 8 shows the following fields, labeled by number:

Account: Also known as a
confirmation number; identifies the specific reser-
vation within the PMS
2.
Arrival: Date the guest will arrive
3.
Nights: Number of
nights the guest will stay
4.
Departure: Date the guest will leave
5.
GTD/CXL: In this PMS, a field activated when a reservation has been com-
pleted (GTD) or canceled (CXL)
6.
No. of Rooms: One or more. Guests may reserve more than one room at a time.
7.
Rate Plan: Special rate. Hotels often negotiate or offer special rates to some
guests, and these are identified by code numbers or letters. For example, a rate
plan called
AAA may be used to identify the rate to be charged to members of
the American Automobile Association (AAA). The
proper use of the rate
plan feature simplifies the reservation process and allows tracking of activities
of various groups.

Room Type: several types usually offered based on bed size (e.g., king, queen,
and double) and other features such as location, smoking or nonsmoking, and
in-room amenities

Confirmation number:
Number (or combination of numbers and letters) that
identifies a specific guest

Room Rate: Per night charge for the room. Typically rate does not include
applicable taxes.

Room: Number (if known) of the specific room reserved

Suppress Rate: Field checked if the guest making the reservation prefers that
the room charge not show on the folio

Guarantee Information: Some form of payment to guarantee reservation.
Payment
may be cash, credit card, or an
advance deposit. This section of the
reservation screen allows the hotel to collect the information required for the
guest’s payment.
