Express understanding and empathy
When you meet with employees, avoid placing blame or making accusations. Instead, acknowledge their frustration and try to empathize with their feelings. You might say, "I understand where you are coming from. It sounds like a difficult situation, and I want to try to make things better."
Identify the issue
After speaking with the individuals involved in a workplace dispute, you must determine the primary cause of the conflict. You should understand how your office runs on a daily basis to know the kinds of issues that may arise. The underlying problem can be a misunderstanding, confusion about job roles and responsibilities, pay discrepancy or a perception of unfair treatment. The nature of the problem determines how you to best address it.
Get HR involved
It's important to include a representative from human resources as you navigate a workplace conflict. They are the experts at knowing your company's policies and procedures and the steps to ensure regulatory compliance in all situations. When you meet with employees, your HR team member can review policies and company standards.
Enforce discretion
As you work through a disagreement between coworkers, encourage the rest of the staff to maintain professionalism by avoiding gossip and speculation. Do not discuss the issue with other employees outside of designated meetings, and intervene if you hear people talking about the conflict.
Create solutions
Once you identify the issue that is causing conflict between coworkers, create some options for solutions. You should try to be as fair to the employees as possible while explaining that most resolutions require compromise from all parties.
Some solutions may be as easy as reviewing each employee's job description and reminding them what their roles are. For example, one employee may be acting as a supervisor to another when that is not their responsibility.
More complex situations may require different perspectives and more creative solutions. You might consider separating the employees with more physical distance or moving one to another building. You can place the employees on different work teams so they work together less often. Or you could ask the employees to provide ways they can make better choices and move forward.
