HOW MUCH DO I PAY?
To qualify for the pay in full price, a ONE-TIME full payment amount for ALL TRAVELERS must be made via check in the regular mail to the address above. Please include a copy of this contract with your check. Travelers adding to your group after initial processing do NOT qualify for the pay in full price.
HOW TO MAKE A DOWN PAYMENT?
Please use the “Make a Payment” button found on the ATHLETE APPLICATION page (Step 8) at www.studentathleteworldtours.com to make a down payment for a minimum of $500 per person. This payment will occur a 3% processing fee. You will receive an invoice via e-mail for the balance. Remaining payments will be made by mailing checks to the address above. 50% of the total is due by Feb. 1, 100% is due by April 1.

Day of Travel - You are responsible to meet the team at the departure gate in the departure airport on the day of travel. SaW is not responsible if you miss our flight. If you are flying to the departure airport, be advised that since you are on separate tickets, the airlines are not responsible for rebooking you even in events of weather or flight delays. Because of this we advise against short layovers. When possible, fly the day before or at least give yourself ample time to connect. We recommend a minimum of 5 hours. You likely will have to collect bags, switch terminals, rebook, recheck bags, and re-enter security at a large international airports. SaW cannot meet you at your arrival gate (airport policies make this logistically impossible). We can and will try to assist you in check-in but you must be prepared to get to the departure gate alone.
What happens if I am not allowed to board? -You are responsible for making sure you have all the required paperwork and are deemed eligible to board by the airlines. It is your responsibility to ensure that you passport information matches what is on your ticket.
What happens if I miss my flight? - Please first let SaW know using the phone numbers below. We can try to assist in rebooking you. You will be responsible for all flight charges as well as ground transportation charges that occur in getting you to the group. Also, be aware that you must let the airline know about your return flight as missing the initial leg will bump you off the return flight.
CODE OF CONDUCT By signing this form you agree to follow the following rules and are aware that SaW has the right to send you home at any point during the trip, at your expense, if you break our code of conduct (SaW has the right to discretion).
I am aware that it is against SaW policy for athletes to consume or posses alcohol or other drugs can at any time during the trip (even if I am of legal drinking age in the country we are in or in the USA).
I am aware that I will be responsible to meet the group, our tour guides, and coaches at certain times. If I cannot be on time and make other travelers have to wait for me then I will not stay on the trip.
I am aware that at certain times I will be allowed to travel in smaller groups. I will communicate my whereabouts with SaW staff. At no point will I be allowed to travel all by myself.
I am aware that this trip is about leadership and personal development. I will treat all teammates, opponents, coaches, and anyone I meet while traveling with respect.
I will represent myself, STUDENTathleteWorld, and the USA in a positive way at all times.
TOPIC OF AGREEMENT- STUDENTathleteWorld.com LLC (SaW) and [name(s) on agreement] are in agreement to the following with regards to: STUDENTathleteWorld Tours. REFUND POLICY- In the event that the client decides not to pursue the trip the client is entitled to a refund only before January 1 (the year of departure), minus a holding fee of $390 and 3% processing fee. There is no refund after January 1. TERMS OF AGREEMENT- The aforementioned Agreement will become effective today. The aforementioned Agreement shall remain in effect until such time of the expiration date or agreed upon termination, unless otherwise agreed upon by mutual agreement in writing by both parties. ACT OF GOD/FORCE OF NATURE- Neither party shall be considered in default or in breach of contract hereunder nor be held liable for any failure to perform or for any delay in the performance of any provisions related to this Letter of Agreement when such failure or delay to perform should be triggered by any act or force of nature beyond either party's control. Such acts or force of nature would include, but are not limited to, Act of God (tornado, hurricane, lightning strike, etc.), fire, flood, hostilities, war, striking, or governmental restrictions, provided that whosoever declares an ACT of GOD or Force of Nature shall then provide prompt written notice to the other party to this Agreement of the commencement of the circumstance, the nature of the delay or failure, and when the condition will terminate/cease. Should such performance become interrupted by any such act as mentioned above, every reasonable effort shall be made to resume full performance of the Letter of Agreement as promptly as possible. NOTICE- Both parties hereby acknowledge and agree that any notices provided in connection with this Agreement, shall be made in writing by registered or certified mail, with return receipt requested. ENTIREITY OF AGREEMENT- There are no other representations, terms, conditions, warranties, or agreements, either oral or written, with respect to this Letter of Agreement made between both parties. As such, no changes shall be made except in writing, and thus executed by both parties. PREVAILING LAW- The entirety of this Letter of Agreement shall be governed in accordance with the prevailing laws of the State of North Carolina. Every aspect and provision of this Agreement shall be construed in such a manner that shall render this an effective and valid legal instrument under current applicable law. Should any part of this Agreement be deemed ineffective or unenforceable under applicable, only that specific provision shall be invalid and unenforceable, without affecting or invalidating any of the remaining provisions contained within this Letter of Agreement. LEGAL REMEDIES- Should either party seek legal remedy to enforce or interpret any of the provisions contained with this Letter of Agreement, the prevailing party shall be entitled to reasonable attorney fees, in conjunction with any other relief deemed appropriate by the court to which the party may be entitled. TERMINATION- Both parties shall have the right, at any time, provided written notice is given, to terminate this Letter of Agreement, whereas all rights shall immediately return to the originator of said Letter of Agreement without prejudice to money that may be due or become due upon the occurrence of any of the following: (a) Any violation of the terms of this Letter of Agreement, by either party; (b) Death of either party during the term of this Agreement, or; (c)Either parties' inability to perform in accordance with this Letter of Agreement. TITLES AND SUBTITLES- Any titles or subtitles contained or used in connection with this Letter of Agreement have been provided for ease and convenience of use only and shall not be used to construe any other meaning or intent. By the signing of this Letter of Agreement, both parties acknowledge and agree, with full understanding as to the accuracy of the contents herein, and with the terms agreed upon during negotiations. TRIP CANCELLATION/INTERRUPTION INSURANCE- I understand the SaW recommends individual travel insurance and am aware that I am responsible for obtaining my own travel/trip cancellation/trip interruption insurance should I desire that coverage. SaW is not liable for circumstances outside of their control (government travel restrictions, ACT OF GOD, force of nature, etc.) that would delay, postpone, change, or cancel the trip. TICKETING/PASSPORT- I am aware that the information I provide to SaW and the airlines must match my passport EXACTLY. It is my responsibility to provide all materials needed for ticketing and boarding. If there is an issue with ticketing/boarding I understand it is my responsibility and release SaW from any liability. RELEASE OF LIABILITY- In consideration of the risk of injury while participating in STUDENTathleteWorld International Tours (the "Activity"), and as consideration for the right to participate in the Activity, I hereby, for myself, my heirs, executors, administrators, assigns, or personal representatives, knowingly and voluntarily enter into this waiver and release of liability and hereby waive any and all rights, claims or causes of action of any kind whatsoever arising out of my participation in the Activity, and do hereby release and forever discharge STUDENTathleteWorld.com LLC, located at 753 Ancient Oaks Dr., Holly Springs, North Carolina 27540, their affiliates, managers, members, agents, attorneys, staff, volunteers, heirs, representatives, predecessors, successors and assigns, for any physical or psychological injury, including but not limited to illness, paralysis, death, damages, economical or emotional loss, that I may suffer as a direct result of my participation in the aforementioned Activity, including traveling to and from an event related to this Activity. I am voluntarily participating in the aforementioned Activity and I am participating in the Activity entirely at my own risk. I am aware of the risks associated with traveling to and from as well as participating in this Activity, which may include, but are not limited to, physical or psychological injury, pain, suffering, illness, disfigurement, temporary or permanent disability (including paralysis), economic or emotional loss, and death. I understand that these injuries or outcomes may arise from my own or others' negligence, conditions related to travel, or the condition of the Activity location(s). Nonetheless, I assume all related risks, both known or unknown to me, of my participation in this Activity, including travel to, from and during this Activity. I agree to indemnify and hold harmless STUDENTathleteWorld.com LLC against any and all claims, suits or actions of any kind whatsoever for liability, damages, compensation or otherwise brought by me or anyone on my behalf, including attorney's fees and any related costs, if litigation arises pursuant to any claims made by me or by anyone else acting on my behalf. If STUDENTathleteWorld.com LLC incurs any of these types of expenses, I agree to reimburse STUDENTathleteWorld.com LLC. I acknowledge that STUDENTathleteWorld.com LLC and their directors, officers, volunteers, representatives and agents are not responsible for errors, omissions, acts or failures to act of any party or entity conducting a specific event or activity on behalf of STUDENTathleteWorld.com LLC. I acknowledge that this Activity may involve a test of a person's physical and mental limits and may carry with it the potential for death, serious injury, and property loss. The risks may include, but are not limited to, those caused by terrain, facilities, temperature, weather, lack of hydration, condition of participants, equipment, vehicular traffic and actions of others, including but not limited to, participants, volunteers, spectators, coaches, event officials and event monitors, and/or producers of the event. I acknowledge that I have carefully read this "waiver and release" and fully understand that it is a release of liability. I expressly agree to release and discharge STUDENTathleteWorld.com LLC and all of its affiliates, managers, members, agents, attorneys, staff, volunteers, heirs, representatives, predecessors, successors and assigns, from any and all claims or causes of action and I agree to voluntarily give up or waive any right that I otherwise have to bring a legal action against STUDENTathleteWorld.com LLC for personal injury or property damage. To the extent that statute or case law does not prohibit releases for negligence, this release is also for negligence on the part of STUDENTathleteWorld.com LLC, its agents, and employees. In the event that I should require medical care or treatment, I agree to be financially responsible for any costs incurred as a result of such treatment. I am aware and understand that I should carry my own health insurance. In the event that any damage to equipment or facilities occurs as a result of my or my family's willful actions, neglect or recklessness, I acknowledge and agree to be held liable for any and all costs associated with any actions of neglect or recklessness. This Agreement was entered into at arm's-length, without duress or coercion, and is to be interpreted as an agreement between two parties of equal bargaining strength. Both the Participant(s) and STUDENTathleteWorld.com LLC agree that this Agreement is clear and unambiguous as to its terms, and that no other evidence will be used or admitted to alter or explain the terms of this Agreement, but that it will be interpreted based on the language in accordance with the purposes for which it is entered into. In the event that any provision contained within this Release of Liability shall be deemed to be severable or invalid, or if any term, condition, phrase or portion of this agreement shall be determined to be unlawful or otherwise unenforceable, the remainder of this agreement shall remain in full force and effect, so long as the clause severed does not affect the intent of the parties. If a court should find that any provision of this agreement to be invalid or unenforceable, but that by limiting said provision it would become valid and enforceable, then said provision shall be deemed to be written, construed and enforced as so limited.
