12 September 2015

Secretary’s report


  • Motion to approve the Secretary’s report from Sept. 2014 by Zach 2nd Bethany

  • Motion to approve the Secretary’s report as corrected from Dec. 2014 by Nancy 2nd Mary Thermopolis Motion carries

Old Business

    • Creating a Theatre Bible/Text Book for students

      • Terrin is willing to organize all the materials and create powerpoints

      • Remind coaches at awards to announce that pictures need to be taken of their winning work

      • Open it up to all-state winners

      • Maybe don’t put up original script due to kids copying what was done

      • As coaches we should read those examples to insure its original ideas

      • Dramatic Magazines also has examples of original scripts

  • Spring Conference

      • Connect with USITT they teach and do all the work

      • Head of Tech at UW also willing to do this

      • Chris from East is willing to work on this along with Tim and Zach

  • Electronic Schedule

  • Guide book is $800 a year

        • EDTA got this down to $650

        • If we want this you purchase this through EDTA

      • But EDTA could get us a license

      • Want to have this at 2015 state

      • Guide Book can have a advisory label ie violence

      • Events, Workshops could be given stars

  • Dianne, you can sell sponsorships for this

  • Bethany will talk to Pioneer to see if they would help sponsor this program and contacting EDTA

  • Move that we purchase guide book to use for this year’s state drama by Zach 2nd Mason motion carries

  • Advocacy

  • Setup a state advocacy board through EDTA

      • Zach is willing to do this

      • Setup an advocacy branch

      • First focus should be getting UW or more schools to offer accreditation in theatre teaching certificates

      • Sterling is willing to be part of a team to help getting programs created for theatre education

      • Another option is we need teachers who can be endorsed in theatre

      • What is the focus

      • Getting people who have the accreditation

      • Getting folks who have bachelors in theatre to teach

      • 9 people at the meeting are endorsed to teach theatre

      • Sterling will head

  • Terrin did have a follow-up conversation

  • However Katie now has a new job and is unable to help

  • The one meeting that was had Terrin, Mason, Bethany, Audrey, Garr, and Sonja

  • Maybe the better way is to have a threaded conversation since we are all too busy

  • Count the Fall Conference as face to face time

  • Use the website forum page on the site as a way to communicate

  • What you need is common assessments to prove you’re a plc

  • Theatre Folk

  • They have a PLC webinar

  • Ask administrators to give some leave time to accomplish this

  • Who is willing to lead this

  • Suggest that we reach out to those not here if they are willing to work on this

New Business

  • Musical Theatre Individual Events

      • Exhibition all 5 mins

      • Solo Musical

      • Duet

      • Group up to 16

      • No costumes or props

      • Dress in blacks

      • Accompaniment needs to be brought

      • Number of events you could possibly bring

      • Troup needs to be a member but not the students

      • If you don’t want a troop they could go with another school as a representative for that school such as Natrona

    • Using Rubrics for Judging

    • Tim and Terrin will edit these by the end of the week

  • Terrin will do costume

  • Tim will do the others

    • Publicity Rules Update

    • Motion to accept the rule changes for publicity for 2016 by Zach, 2nd Terrin

    • Motion to amend by adding presentation of 8 minutes and Q and A of 4 minutes to 4th year Motioned by Bethany 2nd Mary

One Publicity entry per student

• Use of images should not violate copyright laws.

• Team Size: Single student entry only.

• Display: Students need one self-supporting display board (such as foam or mat) for all elements of their publicity displays, which may not exceed 24" x 30".

o 1st Year:

  • Advertising poster may not exceed 11" x 17".

  • Attach design concept form (see Registration packet) to the lower right-hand corner facing the viewer.

  • Ticket

o 2nd Year:

  • Advertising poster may not exceed 11" x 17".

  • Attach design concept form (see Registration packet) to the lower right-hand corner facing out to the viewer.

  • Ticket

  • Press Release (see example in the packet), which should also include a publicity photograph for the show.

  • Design one of the following visual advertisements: Postcard or Advertisement for the newspaper(larger than one column).

  • Create at least one social media presence or plan of execution (Facebook, twitter, Instagram, etc). Link should be included on all advertising materials

o 3rd Year:

  • Advertising poster may not exceed 11" x 17".

o 4th Year:

  • Program Design (a copy of the completed program).

  • Design both of the following visual advertisements: Postcard and Advertisement for the newspaper(larger than one column).

  • Press Release (see example in the packet) which should also include a publicity photograph for the show.

  • Formulate a marketing schedule and budget (A fair timeline would be within two months of a production. See example in the packet.)

  • Create a website homepage for the production, show a significant online content such as a web page, a Youtube video or similar. Include means for judges’ access (e.g. QR code, URL, etc).

  • Create at least one social media presence or plan of execution (Facebook, twitter, Instagram, etc). Link should be included on all advertising materials

  • Program ad solicitation form (see example in packet)

  • 8 minute presentation with 4 minute Q and A with the judge

  • State Drama 2017 at Casper College and adapting the Thespian Festival Model

    • Use adding musical this year

    • Adding model of monologues and duets next year

    • State Drama 2017 we add large shows

    • Have a committee

    • If we want more judges and people for workshops we need to change the date

    • Zach wants to know that he has backing from those of us that attended the fall conference

    • What do is included in this model

    • Keep sweeps even in this model

    • At State drama 2015 we would have to vote on changing monologues and Duets

    • Change would be the its model of 3 minutes 2 contrasting pieces

    • Dramatic and Humorous would no longer be divided

    • Musical categories would be added to State Drama

    • Specify that All states are tied with overall Superior rating

    • Tech events keep the level of years, however 4th and maybe 3rd year would add the interview component

    • Obscenity Clause Update

    • All coaches had in fact gotten permission from their principals to perform the pieces

    • At registration schools will note if there is language, adult situations, abuse situation, physical violence

    • ITS also indicates this and will provide their model

    • Students are allowed to leave a round due to the rating

    • State Drama 2015 and 2016 at UW

    • Lee is looking into the possibilities of having workshops perhaps in 2016 State Drama

    • Lee would not be in charge of having to set up workshops other than the space

    • Have the workshops in the already provided rooms during the WEST membership meeting

    • Have a showcase where we use all 3 theatres and rotate for their stage

    • If we can’t do the workshops use this idea

    • Or even have the workshops and the winning shows

    • Terrin and Zach will help plan this

    • Student Directed One-Acts

    • Why can’t we do this

    • What if the kids did this during the movie
