UNIT: 10.4 Documenting & Reporting dispatch for Filing &

Unit Objectives 
At the end of this unit, you will be able to:
1.
Explain the procedure of documenting & reporting dispatch for customs filing and processing.
10.4.1. Application, Recordkeeping and Data Retrieval 
System: 
1. All exporters need to seal the container with the tamper-proof electronic seal RFID as the prescribed 
standards. The electronic seal has a unique number which has to be mandatorily mentioned in the 
shipping bill. Before sealing the container, the exporter should feed the data. 
It is to be noted that the information need not be mounted in the electronic seal" but tagged to the 
seal using a 'web/mobile application' to be provided by the vendor of the RFID seals. Data that is once 
uploaded by the exporter, should not be capable of being overwritten or edited.
•
All vendors required to transmit the information as above to RMD and the respective 
destination port/ICDs of export declared by the exporter. The arrangements for the 
transmission of data may be worked out in consultation with the RMD and nodal customs 
officer at each ICD/Port. For consistency in the process of communication with the customs 
station and the RMD, each vendor shall provide information, to the department by email in 
excel format or any other format that may be stipulated by any field formation or RMD. 
•
The associate should plan to have the container stuffed and sealed either within the factory 
on the self-sealing basis or at a CFS by customs & monitor its movement until it is on board 
the planned vessel.
The details listed also needs to be communicated to the shipper, CHA, Liner, EXIM office etc. to ensure 
the containers customs cleared to reach the port within the window provided by the liner & also 
ensure the boxes are on board" in the planned vessel.
